Introduction

We are now settled
into our new office in Red Deer, Alberta. Along with the move, we would
like to welcome our new development team. George Krys, Bart Szopiak,
and Adam Sawchuk are working with Glenn Chong on the development of
Visual-Eyes® 5.0. They will also be available to assist
with training & software support. We would also like to introduce
Deborah Billings, who is our new Administrative Assistant at head office.
We send our best
wishes to Cheryl Andruski & Holly Olafson. Cheryl was the hub of
our office over the past two years & will be greatly missed. Holly
has left to continue her career as an Optician. Thank you both for your
hard work & contributions.

Many of our clients
have successfully implemented the Exam Module. The exam module is highly
flexible and adapts to your examination styles and procedures. Designed
for use with one hand, this module is efficient and requires very little
typing. Current and historical patient activity is easily accessible
and linked files can be created and viewed quickly. Exam data can be
exported into any word processor to generate exam reports and referral
letters.

Data security
is the protection of business information from possible loss through
equipment failure, disasters or theft. It also involves limiting
unauthorized access to confidential business information.
Data security
is often overlooked in today's busy office environment. A better
understanding of data security and its potential pitfalls will assist
in determining the proper security protocols for your office.
Most people
who use computers will at some time experience data loss through
equipment failure or unforeseen circumstances. In order to illustrate
the importance of this issue, consider for a moment how your office
would be affected if you could not access your patient files, schedule,
examination records or other important data stored on your computer.
The use of anti-virus software, regular backups and proper hardware
selection can greatly increase data security.

An
Ounce of Prevention…
1. Keep your server, hardware and software, in peak condition.
Installing updates released by SOTH Inc. will ensure Visual-Eyes®
is providing the best possible management of your practice. You
also need to ensure that your computers are running efficiently
by scheduling regular scan disk sessions, as well as verifying
that you have enough hard drive space on your server(s).
2.
A server used for business operations should be connected to a
properly rated UPS (Uninterrupted Power Supply). Unstable power
is a common cause of hard drive errors and failures. Should this
occur, partial or total data corruption may be the unfortunate
result.
3.
Keep your network protected from computer viruses. In addition
to the security risks, many viruses can cause critical damage
resulting in partial or total data loss. Internet connections
should have a firewall.

At
a minimum, all workstations connected to the Internet should run an
up to date anti-virus program. Exchanging files with home computers
should be discouraged, as home computers are a common source of viruses.
In addition to the legal issues, pirated software is not encouraged
or supported in anyway due to its greater risk of unknown computer
viruses.
…Is Worth a Pound
of Cure (but you still need to be prepared)
1. Dual Hard Drives. This involves installing two physical hard
drives into your main file server. Your main Visual-Eyes®
databases will be placed on one drive, and the transaction log file
is placed on the second hard drive. Should either drive fail, your
data can be reconstructed from the remaining drive and a backup.
Offices with even greater reliability-demands may also install a
mirrored drive, which maintains a live copy of the primary drive.
2. Implement, enforce,
and verify daily data back-up procedures. Back-ups can be scheduled
automatically, but the media (CD/RW, Tape, Zip Disk, etc.) MUST
BE CHECKED REGULARLY to ensure the data is being properly backed-up.
(Random testing of our clients indicates that, although our clients
are backing up regularly, up to 25% of their backups are completely
useless) Big Byte Inc. offers a service to verify backups. Please

3. Designate a Back-up
Server or Laptop. It is recommended for offices that use Visual-Eyes®
extensively to have a back-up server in place. In its simplest form,
this is a workstation specifically setup so it can take the place
of a failed main server. Data from the main server should be copied
to the back-up server on a nightly basis. In a slightly more elaborate
form, a laptop (which is taken home nightly) is used instead of
a workstation. Laptops have the additional advantage of being completely
independent of your office. This advantage becomes obvious in cases
of power outages, theft of your other computers or fire/flood type
damage to your office.
